CHAMP Academy Membership Agreement

Section 1: Membership Tiers and Pricing

Founding Member rates are locked for the life of active membership and are limited to the first 15 families per tier. Founding rates are non-transferable. If a Founding Member voluntarily cancels or is dismissed from the program, the Founding rate is permanently forfeited. Re-enrollment after cancellation is subject to the standard rate in effect at that time.

Section 2: Billing and Payment

Monthly membership fees are billed on the same calendar date each month, beginning on the date of enrollment. Payment is due at the time of billing.

Accepted methods: credit card, debit card, and ACH bank transfer.

A $15 returned payment fee applies to any failed transaction. Membership access is suspended until payment is resolved.

Founding Member rates are locked for the life of active membership. Standard rates are subject to change with 30 days’ written notice.

Drop-in sessions are billed at time of reservation and are non-refundable unless the session is cancelled by CHAMP Academy. Drop-in rates are $30 per class.

Section 3: Cancellation and Refund Policy

Membership Cancellation

Members may cancel at any time with 15 days’ written notice submitted to hello@champacademykids.com. Cancellations submitted fewer than 15 days before the next billing date will result in one final billing cycle charge. No partial-month refunds are issued.

Founding Members who cancel voluntarily forfeit their Founding rate permanently.

CHAMP Academy reserves the right to terminate a membership at any time for violation of program policies. Written notice will be provided.

Class Credits and Cancellations

Members who need to miss a class may request one (1) makeup credit per calendar month with at least 24 hours’ advance notice. Makeup credits expire 14 days from the date of issue and may be applied to any available class within the same membership tier.

No-shows and same-day cancellations (non-illness) are not eligible for makeup credits.

Illness-related cancellations are exempt from the 24-hour notice requirement and the one-credit-per-month limit. We want every family to feel empowered to keep sick children home without penalty. A makeup credit will be issued upon notification at hello@champacademykids.com or 610.443.0424.

CHAMP Academy reserves the right to combine classes if enrollment for a given day is fewer than 3 children. Families will be notified of the adjusted time as early as possible. If the family is unable to attend the adjusted time, a makeup credit will be issued.

If CHAMP Academy cancels or reschedules a class due to inclement weather or other circumstances beyond our control, members will receive a makeup credit for that class.

Section 4: Program Format and Caregiver Responsibilities

CHAMP Academy is a caregiver-present enrichment program. It is not a drop-off program or licensed child care facility. The caregiver who brings the child to class is responsible for their child at all times during the session.

A parent, guardian, or designated caregiver must remain on-site for the duration of every class. Caregivers are expected to participate actively in class activities alongside their child.

The enrolled caregiver is responsible for their child’s physical safety, bathroom needs, and behavior management in partnership with the CHAMP instructor.

Classes are led by credentialed early childhood educators. Caregivers are asked to follow instructor guidance during activities.

Children must be within the enrolled age range (infant through 6 years) at the time of each class.

Section 5: Behavior Policy

CHAMP Academy is committed to a safe, welcoming, and joyful environment for every child and family. We approach all behavior with developmentally appropriate expectations, warmth, and consistency.

Our Approach

We use positive, proactive guidance. Instructors redirect, offer choices, and narrate expected behavior. We recognize that behaviors in young children often communicate unmet needs, transitions, or dysregulation, not defiance.

Caregivers are present and are considered active partners in supporting their child’s behavior during class.

Caregiver Responsibilities

Caregivers are responsible for responding to their child’s distress, redirection needs, or unsafe behavior during class.

If a child is unable to participate safely or is significantly disrupting others after caregiver and instructor support, the caregiver may be asked to take a brief break outside the class space and return when the child is ready.

CHAMP staff will never physically restrain a child. Caregivers are expected to manage physical escalations involving their own child.

Conduct Expectations for Caregivers

Caregivers are expected to model respectful behavior at all times, toward staff, other families, and their own children.

Dismissive, aggressive, or disrespectful behavior toward CHAMP staff or other families will not be tolerated and may result in immediate dismissal from the program.

Any behavior that threatens the physical or emotional safety of a child, caregiver, or staff member is grounds for immediate and permanent removal from the program without refund.

Escalation and Dismissal

If a pattern of unsafe or disruptive behavior persists, CHAMP Academy will initiate a private conversation with the family to develop a shared plan.

CHAMP Academy reserves the right to dismiss any family whose behavior, child or caregiver, poses a repeated safety risk or undermines the environment for others. Dismissal decisions are made at the discretion of the Program Director.

Dismissed families forfeit any Founding Member rate and are not eligible for refunds of unused membership days beyond the terms described in Section 3.

Section 6: Health and Illness Policy

The health and safety of all children and families is our priority. Because CHAMP Academy serves infants and young children in a shared space, all families are required to follow these guidelines without exception.

Please Keep Your Child Home If They Have

• Fever of 100.4°F (38°C) or higher within the past 24 hours
• Vomiting or diarrhea within the past 24 hours
• Symptoms of a contagious illness: strep throat, pink eye, hand-foot-mouth disease, chickenpox, lice, or similar
• An unidentified rash not yet evaluated by a physician
• Active runny nose with colored or excessive discharge
• Any illness for which a medical provider has recommended keeping away from other children

Children must be symptom-free for 24 hours, without the use of fever-reducing or symptom-suppressing medication, before returning to class.

A makeup credit will be issued for illness-related absences with at least 2 hours’ advance notice when possible.

Caregivers

A caregiver who is visibly ill should not bring their child to class. Please arrange for a healthy alternate caregiver to attend, or contact us to reschedule.

Allergies and Accommodations

Families must disclose all known allergies at enrollment and notify CHAMP Academy of any changes at hello@champacademykids.com.

CHAMP staff are not authorized to administer medication. Caregivers are responsible for managing their child’s allergies and must have any required medication (for example, an EpiPen) on their person during class.

Hygiene

Handwashing is encouraged for all children and caregivers upon arrival and before and after sensory or food activities. CHAMP Academy disinfects high-touch surfaces and shared materials between class sessions.

Illness Reported After Class

If your child is diagnosed with a contagious illness within 48 hours of attending a CHAMP class, please notify us promptly at hello@champacademykids.com or 610.443.0424 so we may take appropriate steps to inform other families, consistent with confidentiality obligations.

Section 7: Media Release

CHAMP Academy may occasionally photograph or video-record class activities for use in marketing materials, social media, the CHAMP website, and press coverage. By enrolling, you consent to this use unless you opt out.

Opt-Out

If you do not want your child to appear in CHAMP Academy marketing or social media materials, please notify us in writing at hello@champacademykids.com. Opt-out requests are honored prospectively and do not apply to content already published prior to the date of the request.

Families who opt out will be issued a neon wristband or neon sticker at check-in. This wristband or sticker must be worn by the child during class as a visual identifier to instructors and staff that the child’s photo should not be taken or posted. Please ensure the wristband or sticker is worn for every class session for the opt-out to be honored.

Neon wristbands and stickers are always available at the entrance to the classroom, by the light switch, so families may self-serve at any time. No need to ask a staff member.

CHAMP Academy is not responsible or liable for photos taken or posted of a child who was not wearing their neon wristband or sticker identifier at the time the photo was taken. Ensuring the identifier is worn each class is the responsibility of the caregiver.

Section 8: Liability Waiver and Release

Participation in CHAMP Academy classes and use of The Hitter’s Edge facility involves physical activity and movement. By enrolling, I acknowledge and agree to the following:

• I understand that physical activity carries an inherent risk of injury, and I voluntarily assume those risks on behalf of myself and my enrolled child(ren).
• I release and hold harmless The Hitter's Edge LLC, CHAMP Academy, its owners, staff, instructors, agents, and representatives from any and all claims, damages, losses, or liabilities arising out of or related to participation in CHAMP Academy programming or use of the facility.
• I acknowledge that CHAMP Academy is a caregiver-present program and that I am responsible for the physical safety and supervision of my child during all sessions.
• I certify that my child is in good health and physically able to participate in CHAMP Academy activities. I agree to keep CHAMP Academy informed of any health conditions, injuries, or changes that may affect my child's participation.
• I understand this release does not waive claims arising from the gross negligence or willful misconduct of CHAMP Academy staff.

Section 9: General Terms

This Agreement is the entire agreement between CHAMP Academy and the enrolling family regarding membership and program participation.

CHAMP Academy reserves the right to update program policies. Members will be notified of material changes by email with at least 14 days’ notice.

This Agreement is governed by the laws of the Commonwealth of Pennsylvania.
